Using AI in job applications: what is allowed?

In short: yes, you may use tools. What matters is that the content is true and that you take responsibility for it. These are the rules that really count: truth, the company's rules and data protection.

The short answer

There is no general rule that forbids applicants from using spell checkers, templates or AI assistants. What matters is what is in your application: it has to be true and you have to be able to stand behind it.

An AI text can make your work easier. It does not take away your responsibility.

Three rules that really count

  • 1. It has to be true

Invented roles, titles, certificates or numbers are a problem, no matter who wrote them. Check every statement against your resume.

  • 2. Follow the company's rules

Some companies explicitly ask for self-written texts or ask about the use of AI. Then: answer honestly and follow the rule.

  • 3. Handle data carefully

Your resume contains personal data. Check where you enter it and what happens with it.

Data protection: what to check for AI tools

Applies to every tool you want to feed your resume into.

  • Is your input used to train models? Can that be switched off?
  • Where is your data stored, and for how long?
  • Is there a data processing agreement when personal data is involved?
  • Can you delete or export your data?
  • Do you really need all details in the prompt, or are anonymized ones enough?

And on the company side?

Companies that use AI to select applicants are subject to strict rules, for example under the GDPR (Article 22 on automated decisions) and the EU AI Act. That concerns the employer side, not you as an applicant.

It does change something for you, though: some systems pre-sort. If you structure your documents cleanly and use the terms of the posting, you are found more easily.

How we handle this at Pathly

Pathly does not send anything automatically and labels AI suggestions as suggestions. You decide about every change and every text. Personal details are masked before text goes to the AI, and the AI providers process it under contract without storage and training. More on the page Automate job applications.

Frequently asked questions

Do I have to say that I used AI?

There is no general obligation. If you are asked or there is a rule, answer honestly.

May I let AI write a cover letter completely?

Legally this is usually not forbidden. It is rarely sensible: without your evidence and your voice the text turns out arbitrary. Use the AI as a draft and make it yours.

Can I be rejected for using AI?

That can happen if the text feels arbitrary or violates an explicit rule. A well-evidenced, personal text is the best remedy.
